Most guides to AI workflow automation are written for operations teams wiring apps together: when a form is submitted, create a record, post to a channel. That’s useful, and it isn’t where a client-facing team loses time.
An agency, a firm or a contractor loses time on the jobs that need someone to read: which client emails need an answer, who hasn’t replied, what to tell each client on Friday. This guide covers what AI workflow automation is, the client workflows worth automating first, where a person should stay in the loop, and how to set up your first one in a sentence.
What AI Workflow Automation Is
| Rule-based automation | AI workflow automation | |
|---|---|---|
| How it decides | Fixed if-then rules | Reads the content and judges |
| Example | When a form is submitted, add a row to a sheet | Each morning, list what clients asked for that I haven't answered |
| When the input changes | It breaks, or does the wrong thing | It adapts, with some variation in the output |
| Good for | Structured data that always looks the same | Email, documents and anything written by people |
| Setup | Build triggers and actions | Describe the job |
A workflow has three parts whichever kind you use: when it runs (a schedule, or something arriving), what it does, and where the result goes.
The Five Client Workflows to Automate First
Each of these is a routine alfred_ users run, written the way you’d set it up.
1. Client requests nobody answered
Each morning, list what my clients asked for that I haven’t answered.
You get each ask, who sent it and how long it’s waited. This is the workflow that prevents the “just following up on my email from Tuesday” message.
2. Who you’ve been waiting on
Every day at 3, tell me who I’ve been waiting on for more than three days.
You get each name, the thread, and a nudge ready for your OK. One 👍 and it goes from your own address.
3. The Friday client update
Every Friday at 3, draft an update for each active client from this week’s email and meetings, and send me the drafts.
One draft per client to read, edit and send yourself. A copyable template is in the weekly client report guide.
4. Past-due invoices
Every Monday, list the invoices past due and write a reminder for each.
You get the overdue list, with reminders ready for your OK.
5. The week ahead
Monday morning, plan my week: meetings day by day and the mail that needs me.
This one is ready-made in alfred_ as Plan my week; you turn it on.
Where a Person Approves
The rule is simple: anything that goes to a client waits for a person. Workflows can read, sort, summarize and draft on their own all day. The send is yours.
In alfred_ that’s built in. Drafts, follow-ups and reminders come to you, by text or email, and nothing is sent until you react with a 👍 or say send. Calendar invites to other people and changes to a CRM record also wait for your yes.
alfred_: You’ve been waiting on Omar Haddad at Haddad Imports for 9 days (signed proposal). Here’s a nudge: “Hi Omar, checking in on the proposal. Once we have the signed copy we can book the shipment.” Send it?
You: 👍
alfred_: Sent to Omar.
Illustrative exchange. Names in this post are invented.
Which Tools Fit
| Tool | Kind | How you set a workflow up | Where results go | Price |
|---|---|---|---|---|
| alfred_ | AI assistant for client-facing teams | One sentence, by text or web | Your phone (iMessage, RCS, SMS) or inbox | From $29.99/mo; teams $49.99/seat |
| Zapier | App-to-app automation | Builder: triggers and actions | Wherever you wire them | Free; from $19.99/mo yearly |
| Make | Visual workflow builder | Visual builder | Wherever you wire them | Free; from $9/mo yearly |
| n8n | Developer workflow tool | Builder, code steps, self-host | Wherever you wire them | Free self-hosted; cloud from $24/mo |
| Viktor | Shared AI employee in Slack or Teams | @mention it in Slack or Teams | Slack or Teams | From $50/mo shared credits |
| Lindy | AI teammate you configure | Skills and instructions | App, Slack, text | From $29.99/mo pooled credits |
alfred_ is the best fit for client-facing teams because its workflows are about client email and calendar, they’re set up in a sentence, they run when an email arrives or on a schedule, and the results reach you wherever you are by text. Each person on the team gets their own assistant and their own workflows, on one bill.
Zapier, Make and n8n move data between apps with workflows you build; plenty of teams run one alongside alfred_. More in Zapier vs n8n vs an AI assistant.
Viktor is one shared bot for the workspace that lives in Slack or Teams; you can’t text it, and its credits are shared across the team. See alfred_ vs Viktor.
Your First Workflow in One Sentence
- Connect your email and calendar. Gmail, Outlook or any IMAP mailbox; Google, Outlook or iCloud calendar.
- Add your phone number and confirm the code it texts you.
- Text the sentence. For example: “Every day at 3, tell me who I’ve been waiting on for more than three days.”
- Check the schedule it shows you and say yes. To see a run straight away, use Test it now on the Routines page.
That’s the whole build. To change it later, text a new sentence.
How to Write a Good Workflow Sentence
- Say when: “every weekday at 9”, “every Friday at 3”, or “when a client emails about a quote”.
- Say what, specifically: “list what my clients asked for that I haven’t answered” beats “check my email”.
- Say where: “text me” for short results; “email me” for anything longer.
- Say what needs your OK: “draft a reminder for each, and send me the drafts”.

Workflow builders move data between apps once you've built the workflow. alfred_ runs the client jobs that need judgment (unanswered requests, who you're waiting on, the Friday update, overdue invoices) from one sentence you can text it, on your schedule or when an email arrives, and keeps a 👍 between you and every client.
Best for
- Agencies, firms and contractors with recurring clients
- Account managers and owners who are away from their desks
- Teams that gave up maintaining Zaps
Not for
- Moving data between arbitrary apps
- Anyone who wants clients emailed with no human check
