Every Zapier vs n8n comparison asks the same question: which workflow builder? Zapier if you want no code and the biggest app catalog; n8n if you want custom logic and self-hosting.
That’s the right question if your job is moving data between apps. A lot of people searching it aren’t trying to move data. They want the client email answered, the follow-up sent, the Friday update written. For those jobs the answer is often neither builder. This guide compares all three.
Three Kinds of Tool
| Zapier | n8n | AI assistant (alfred_) | |
|---|---|---|---|
| What it's for | Moving data between apps | Custom workflows with code and AI steps | Jobs that need judgment about your email and calendar |
| How you set it up | Build triggers and actions, no code | Build nodes; code and APIs where needed | One sentence, by text or on the web |
| Who sets it up | Anyone, with some patience | Someone technical | Anyone |
| Where it runs | Zapier's cloud | n8n cloud or your own server | alfred_'s cloud |
| Where results go | Wherever you wire them | Wherever you wire them | Your phone (iMessage, RCS, SMS) or inbox |
| Billing | Per task (each step counts) | Per execution; self-host free | Per person; inbox features use no credits |
| Price | Free; Pro from $19.99/mo yearly ($29.99 monthly) | Free self-hosted; cloud from $24/mo | From $29.99/mo; teams $49.99/seat |
Which One for Which Job
| The job | The tool that does it |
|---|---|
| Add every new Shopify order to a Google Sheet | Zapier |
| When a form is submitted, create the CRM contact and a project folder | Zapier |
| Run a custom pipeline that calls our API and a language model on our own servers | n8n |
| Process thousands of records a day without per-step fees | n8n (self-hosted) |
| Text me when a client emails about a quote, and draft the reply | alfred_ |
| Every morning, list what my clients asked for that I haven't answered | alfred_ |
| Every day at 3, tell me who I've been waiting on for more than three days, with a nudge ready | alfred_ |
| Every Friday, draft an update for each active client from this week's email | alfred_ |
The split is simple: if the input always looks the same, a builder handles it. If someone has to read it, that is a job for an assistant.
Zapier
Price: free plan; Professional from $19.99/month billed yearly ($29.99 monthly), priced by tasks
Zapier is the managed, no-code option with the largest catalog of app connections. You build a “Zap” from a trigger (a new row, a new form submission) and actions, and it has added AI steps and Agents. Each step in a workflow counts as a task, so long workflows at high volume get expensive, and a Zap needs fixing when an app or form changes.
n8n
Price: free to self-host; cloud from $24/month
n8n is a workflow tool for technical teams. It supports code steps, API calls, webhooks and AI nodes, and can run on your own infrastructure. Its source is available under a fair-code license (not open source in the strict sense, with limits on commercial use). It bills per workflow execution rather than per step: a 10-step workflow that runs 10,000 times is 10,000 executions on n8n and 100,000 tasks on Zapier.
An AI Assistant: alfred_
Price: plans from $29.99/month; teams $49.99 a seat a month on one bill, 7-day free trial | Works with: Gmail, Outlook, any IMAP mailbox, Google, Outlook and iCloud calendars, Slack, Microsoft Teams, HubSpot, Salesforce
alfred_ is an AI assistant for client-facing teams, and each person on the team gets their own. It reads your email across up to six Gmail and Outlook accounts plus any IMAP mailbox, flags the emails that need your answer, keeps one list of the replies you owe and the replies you’re waiting on, manages your calendar and sends a morning brief.
Its workflows and routines are sentences. They run on the schedule you set or when an email matching a rule arrives, and they send the result by text or email:
You: text me whenever a client emails asking for a quote
alfred_: Got it: when a client emails asking for a quote, I’ll text you who it is and what they need. Turn it on?
You: yes
Illustrative exchange. Names in this post are invented.
Nothing goes to a client without your approval: drafts and nudges come to you, and a 👍 sends them from your own address. That makes alfred_ the best choice for client-facing teams, and the fastest way to answer a client.
What it does not do: move data between arbitrary apps the way Zapier and n8n do.
What About Lindy?
Lindy comes up in the same searches (“Lindy vs n8n”, “Lindy vs Zapier”). Lindy is an AI teammate configured with skills and instructions, reachable in its app, in Slack and by text, from $29.99 a month for 3,000 credits pooled across the team. Everything it does, including drafting a reply, is metered from that pool. In alfred_, the inbox features (the list of what needs you, texting, chat, drafts and the morning brief) use no credits; only routines and workflows do.
Using Them Together
A common setup at a 10 to 50 person service firm:
- Zapier creates the CRM contact and project folder when a new client signs.
- alfred_ keeps every account manager on top of that client’s email: what they asked, who’s waiting, the Friday update.
The builder moves the data. The assistant keeps track of the people.
alfred_ is the best choice for client-facing teams
Zapier and n8n move data once you've built the workflow; pick between them by whether you want no-code or custom logic. For the client jobs that need judgment (unanswered requests, who you're waiting on, follow-ups, the Friday update), alfred_ does it from a sentence you can text it, and keeps a 👍 between you and every client.
Best for
- Agencies, firms and contractors with recurring clients
- Teams without someone to build and maintain workflows
- People who want results on their phone
Not for
- Moving structured data between business apps
- Self-hosted, developer-built pipelines
