It's Friday at Noon. Which of My Contractors Haven't Sent This Week's Timesheet?

Before Payroll Closes, Not After.

For staffing agencies and placement coordinators who collect timesheets by email: a Friday list of the workers whose timesheet hasn't arrived, so payroll isn't held up on Monday.

Quick answer

How do I see which contractors haven't sent this week's timesheet?

  • Make a routine in alfred_ in one sentence: "Every Friday at noon, email me which of our placed contractors haven't sent this week's timesheet"
  • It reads this week's timesheet emails in your inbox, attachments included, and compares them with the list of workers you give it
  • You get one list before payroll closes. Ask the same question by text any time
  • It sends nothing to contractors. Reminders are written when you ask and sent when you approve

Timesheets arrive as photos, PDFs and spreadsheets, from personal email addresses, all week. The missing ones are what matters on Friday.

The short answer: make a routine in alfred_ in one sentence: “Every Friday at noon, email me which of our placed contractors haven’t sent this week’s timesheet.” Give it the list of workers. It reads this week’s timesheet emails, attachments included, and emails you the ones still missing before payroll closes. It sends nothing to contractors on its own.

Friday afternoon, every Friday

You’re the placement coordinator at a light-industrial staffing agency with 45 people on assignment this week. Payroll closes at 5 PM Friday. Timesheets arrive all week by email: signed PDFs from the client’s supervisor, phone photos from workers, a spreadsheet from one site manager who covers twelve people.

By Friday noon, 38 have come in. Which seven haven’t? You find out by opening the roster and the inbox side by side, name by name, while the phone rings about Monday’s openings.

The native ways, and where they stop

A roster spreadsheet with checkmarks. Accurate if someone ticks every arrival, all week.

Timekeeping software. If every worker and client uses it, it tracks submissions. Plenty of placements still send timesheets by email.

Searching the inbox. Search “timesheet” for this week. You still compare it against 45 names.

Make the routine

  1. Connect the inbox timesheets are sent to. Sign in with Google or Microsoft; your password stays with them.
  2. On the Routines page, choose Create a routine, or ask alfred_ in the app.
  3. Say it in one sentence, with the list: “Every Friday at noon, email me which of these contractors haven’t sent this week’s timesheet: Jordan Parker, Lisa Grant, Marcus Lee, …” When placements change, ask: “add Luis Ortega to my timesheet routine.”
  4. alfred_ shows you the routine before you turn it on. See Make your own.

What Friday’s list looks like

Timesheets still missing this week (4 of 45)

  • Marcus Lee (Harbor Logistics, warehouse): nothing this week.
  • Sofia Grant (Brightwater Foods, line): replied Wednesday “will send tonight.” Nothing since.
  • Carlos Alvarez (Northside Distribution): sent IMG_4482.jpg with no note on Wednesday. Worth a look.
  • Dana Price (Westgate Plaza, front desk): her supervisor said “will send Friday AM.” Nothing yet.

Illustrative example, not output from a real run. The workers and clients are invented.

Where each step happens

  • Desktop: make or change the routine on the Routines page.
  • Email, Friday at noon: the list arrives with five hours to chase.
  • Phone: “who’s still missing a timesheet?” by text any time, or “remind Marcus and Sofia to send theirs by 3”; reminders wait for your OK.

The honest caveat

alfred_ reads the inboxes you connect, so a timesheet sent to a colleague or only submitted in a portal isn’t seen. It compares against the list you give it, so keep the list current. It reads emails and file names, not handwriting on a photo, so check anything it flags as unclear. alfred_ is a paid product, and routines run on the credits your plan includes; plans are on the pricing page.

Frequently asked questions

How do I see which contractors haven't sent this week's timesheet?

Connect the inbox timesheets go to and make a routine in alfred_: "Every Friday at noon, email me which of our placed contractors haven't sent this week's timesheet." Put the list of workers in the routine. It reads this week's timesheet emails, attachments included, and emails you the ones still missing. It sends nothing to contractors.

How does it know who should send one?

From the list you give it. Put the names (and the addresses they send from) in the routine. Update it when a placement starts or ends by asking: "add Luis Ortega to my timesheet routine."

Can it tell a timesheet from a random attachment?

It reads the email and the file name, so "timesheet week of Oct 20.pdf" or "hours this week" is clear. A photo named IMG_4482.jpg with no note is ambiguous; the list will call it a reply with an attachment rather than guess.

Can it remind the contractors?

Yes, with your approval. Ask "remind everyone on today's list to send their timesheet by 3" and alfred_ writes the emails and shows them to you before any are sent.

Our timesheets go through a portal. Does this help?

If the portal emails you when a timesheet is submitted, alfred_ can read that email. Submissions with no email to you aren't something it sees.
