# Sharing & permissions

On a team, each person's mail and calendar are private to them. A teammate can say yes to sharing with the team's account coordinators, who can then read, draft, send and add events for them. Every action is logged, and the teammate can stop at any time.

## The roles

| Role | What they can do |
| - | - |
| **Owner** | Manages the team in the admin console: members, roles, seats and billing, and what account coordinators can see. Uses alfred_ like everyone else. |
| **Account coordinator** | Reads a teammate's inbox and calendar only after that teammate says yes. Can save drafts, send email and add or change events for them. Can't delete, archive or move their mail, or change their settings. |
| **Member** | Uses alfred_ on their own seat. Their mail, calendar and chats stay private, and they decide for themselves whether to share with the coordinators. |

The account coordinator role has to be turned on for the team. An owner can hold it too.

## Who can see what

| | The teammate | Account coordinators | Everyone else on the team |
| - | - | - | - |
| Before they say yes | Everything | Nothing | Nothing |
| After they say yes | Everything, plus a log of who looked | Their mail with people outside the team, and their calendar except private events | Nothing |
| Chats with alfred_, texts, tasks, routines, settings | Private | Not shared | Not shared |

By default coordinators see **mail with people outside the team**: client and supplier threads, not internal ones. The owner can widen or narrow that for the team, and each teammate can keep particular people or folders private from the coordinators.

## How sharing starts

1. **An owner asks**

On the **Members** page of the admin console, an owner clicks **Ask to share** for a teammate.

2. **The teammate decides**

They see the request under **Settings → Connected Accounts**, in **Who can read your inbox and calendar**, and choose **Allow** or **No thanks**. Only the teammate can say yes. The yes covers whoever holds the coordinator role, now and later.

3. **Coordinators open it in Shared inboxes**

Account coordinators find the shared mail in **Shared inboxes** in the Coordinator section of the sidebar, one person at a time or everyone together, with search and folders like a normal inbox.

## What a coordinator can do with shared mail

- Read threads and attachments. Nothing they open is marked read for the teammate.
- Save a draft into the teammate's Drafts folder, and send from the teammate's account.
- See the teammate's calendar, and add or change events on it.
- Run their own routines over the people they cover, like a weekly round-up of unanswered client email.

They can't delete, archive, move or label anything, and they can't see or change rules, routines, memory or settings.

## The access log

Every read, draft, send and calendar change through Shared inboxes is logged under the name of the coordinator who did it, and a coordinator's routine reads are logged too. The teammate sees it under **Who looked**, in the same place they allowed sharing.

## Stopping

The teammate turns sharing off with the switch in **Who can read your inbox and calendar**. Access ends right away, for every coordinator.

## What sharing doesn't do

- It doesn't give anyone a teammate's password or sign-in.
- It doesn't share chats with alfred_, texts, tasks, routines or settings.
- Sharing one person's mail doesn't share anyone else's.

A shared inbox in alfred_ is different from a team address in Gmail or Outlook, like support@, which belongs to the team rather than to one person. A Microsoft 365 shared mailbox can be added to your own account instead; see [Outlook](https://get-alfred.ai/docs/connect/outlook#shared-mailboxes).
